From the website sign-up form or Needs Attention › New Leads. Approve, ask for more info, or reject. Approve files them on the Wholesale Customers board you pick; there their login and the 7/14/24 welcome emails go out automatically.

From the wholesale portal or New Leads. Send the quote; follow-ups run in Active Quotes; an accepted quote moves the chip to Needs Attention › Imp Active Orders. Past Quotes is the history of finished quotes.

▸ Create Wholesale Login
Invite a known lead straight in instead of waiting for them to self-register. This creates an already-approved account with an easy generated password, then shows you the welcome email to review -- nothing is sent until you click Send.
▸ Product Pricing & MOQ
Wholesale prices follow the rule below, worked out from the live Shopify retail price and Cost per item every time you sync Inventory AU/IM. Type a 1 Kg price to pin it (the 2, 5 and 10 Kg prices scale from it); clear the box or click Unpin to follow the rule again. A product only appears to wholesale customers once an MOQ is set and Enabled is checked.

Connects the inbox for your account, so your emails sync and segment automatically.
Recover email links
Repair tool -- fixes any contact chip on any board (New Inquiries, Branded, Unbranded, Customers, etc.) whose "Read Email" link is missing or broken. Recomputes from mail already synced into the CRM first, then does a deep search of each remaining contact's entire Gmail history (not just recent/unread mail) to catch older conversations too. Safe to run anytime -- can take a minute or two on a large contact list.
Backfill New Inquiries
Sweeps the whole mailbox for Shopify "New customer message" contact-form notifications -- including ones already marked read, which the regular sync skips -- and files any that never made it into Needs Attention > New Inquiries. Safe to run anytime; already-handled ones are skipped automatically.
Backfill Wholesale Requests
Sweeps your whole mailbox (any age, any read state) for wholesale-request phrasing and adds matches to the Wholesale tab's "Wholesale Account Requests" review queue -- for requests that came in before automatic detection existed. Only ever adds rows to that review queue; it doesn't touch any contact, segment, or email already sorted in the CRM, so it's safe to run anytime.
Connect Shopify
Used by "🔄 Sync Shopify" (Shopify Customers tab) to scan your orders and suggest which customers go where. Since January 2026, Shopify apps built via the Dev Dashboard no longer get a permanent access token -- instead, paste the Client ID and Client Secret from your app's Settings page (Dev Dashboard → your app → Settings → Credentials). The CRM exchanges these for a fresh token automatically, in the background, whenever it needs one.
Pulls in every order Shopify has ever recorded -- not just new ones -- and brings everything up to date in one pass: inventory quantities and prices (feeding the Wholesale portal's pricing too), product/collection purchase links for Mass Email's Product List / Collection List filters, and a review list of any past customer who was never created as a CRM contact (e.g. checkout-only buyers who never emailed you). Freeze Dried Lollies / Lollies-Bulk purchases are left out automatically since that line is discontinued. Safe to re-run any time.
Email signature
Used automatically on every send. If your Gmail account already has a signature set, that one wins — this is the fallback.
📇 Phone numbers & addresses
Filled in automatically on contact chips from Shopify -- the customer's phone, saved address and company, or their last order's (after every Shopify sync, for every contact, buyer or not) and from email signatures (a few contacts every few minutes, in the background). Only blank fields are ever filled -- anything you've typed is never overwritten. They're used when you send a wholesale login.
Rename boards
Change any of the 7 main tab names — it updates everywhere they're shown (tab bar, "Add to..." menus, search results, mass email).
Data cleanup (admin only)
Merges historical duplicate contacts (same email, different casing/spacing) into one, keeping all their info. Safe to run anytime.

📤 Export your data (backup)
Downloads a CSV of everything in that board/dataset, ready to open directly in Google Sheets (File → Import → Upload) or Excel. Use this any time you want your own independent copy -- before a big update, or just as a periodic backup -- so you're never solely dependent on the live database. This is your data; the code/app itself is backed up separately (see the "Rolling back a bad update" note in the project's README).
🏷️ Branded detection
Gmail, Outlook, Bigpond and similar addresses go to Unbranded, unless (A) the part before the @ contains one of these business words, or (B) we know a company name for them (Shopify order Company, website inquiry form, or typed into the contact). Applies to Email Synced, Shopify orders and the Sales app. Words of 3 letters or fewer (e.g. "co", "pty") only count as a separate word, so "co" won't match "nicole".
Lists everyone in Unbranded (CRM and Sales app) who now counts as Branded. Nothing moves until you click Move.
🔗 Same business, different emails
Finds contacts that are the same business under two emails, e.g. cafe@thesneakerlaundry.com.au and cafe.thesneakerlaundry@gmail.com (a Gmail/Outlook address containing the company's domain name, or the same company name). Merging keeps one chip with both emails, adds their values together, and moves notes, emails, orders and board placements across. Future emails and orders from either address land on that chip. Nothing merges until you click Merge.
Ignored senders
Emails from these addresses or domains are skipped during sync — adding one also removes any of their emails already synced.
